5.2 PORT SETTING OPTIONS172 Installation Manual5.2.7 Mailbox GroupsThis program allows a message to be delivered to several mailboxes at once. The messageactivates the message waiting lamps on all of the proprietary telephones. These mailboxesmay be assembled into a list called a System Group Distribution List. The Message Managercan record a voice label for each System Group Distribution List (see D6 RECORDINGMESSAGES). There are 20 group lists available, and each group list can have up to 20entries.To establish a mailbox group:1. From the System Administration Top Menu, Type [1-5-1-1-1](Program-System Parameter-System Group Assignment-Mailbox Group-Enter).2. Assign a List Number to the Mailbox Group. This number can be from 2-5 digits (sameas mailbox numbers). This number must be an unused number. In other words, thenumber assigned to this group cannot be the same as another System Group DistributionList number or mailbox number. For example, we will use the number 250.There are 2 ways to use a System Group Distribution List:Option A:For inside messages: The System Group Distribution List number can be designedso that any subscriber can press [2] and then enter the list number (which is [250] inthis example) to deliver a message. The message will be delivered to all specifiedmailboxes.Option B:For outside messages: The System Group Distribution List number can be designedas a custom greeting for incoming callers. For instance, the greeting might be: "Toleave a message for the parts section, press 3". The digit "3" would be assigned toSystem Group Distribution List number 250 in Custom Service Setting.Each message waiting lamp will remain on until the message is cleared from theindividual station.5.2.8 Extension GroupsAn extension group places several extensions into the same mailbox. These extensions maybe assembled into a list called a Extension Group List. The extensions in the group list cannothave a personal mailbox! When a message is left in this mailbox, it lights all of the messagewaiting lamps of the phones that are in this group list. There are 20 group lists available, andeach group list can have up to 20 entries.When a message is left for the extension group, it will light the message waiting lamps on eachphone. The first person that retrieves the call cancels the message waiting lamp on the otherphones. Extension groups work well in areas where the call would not be intended for aspecific person (e.g., a Parts Center, Technical Support Group, etc.).To establish an extension group:1. From the System Administration Top Menu, Type [1-5-1-2-1](Program-System Parameter-System Group Assignment-Extension Group-Enter).
